Description

The assistant provides administrative support to two partners of the Calgary office. He/she works in collaboration with the administrative support team and responds to ad hoc requests, based on the needs of all members of the firm.

Duties and responsibilities

  • Transcription of various letters and reports.
  • Draft and edit correspondence, letters, agreements and other documents.
  • Respond to inquiries and billing follow-up.
  • Perform banking and real-estate transactions from start to finish.
  • Management of calendar, customer lists, files and billing.
  • Photocopying, scanning and archiving documents.
  • Organization of travel and meetings.
  • Management of lawyers’ expense accounts, invoices and time sheets.
  • Execution of various administrative tasks as required by the firm.
  • Follow-up on administrative exchanges with the firm’s other offices.
  • Perform administrative tasks such as receiving new business, creating expense reports and data entry.
  • Update and ensure the accuracy of the organization’s databases.
  • Perform general procedural tasks related to the firm’s activities, such as obtaining tax identification numbers.
  • Conduct searches relevant to the needs of the transaction.

 

Skills required

  • Minimum of two to five years of experience of relevant experience in a corporate work environment.
  • Ability to work well under pressure in a high-performing environment .
  • Strong technical proficiency with Microsoft Office suite.
  • Exceptional (written and verbal) communication and interpersonal skills.
  • Excellent organizational and time management skills.
  • Strong attention to detail.
  • Strong searching abilities (i.e., emails, archives and document management).
  • Ability to work independently and take initiative.
  • Motivated and eager to learn, adaptable and professional.
  • Knowledge of Real Estate transactions up to and including closing books (an asset).
  • Ability to multitask.
  • Strong Professionalism to interact with clients.
